Terms & Conditions

Please read these terms carefully before booking your safari with Tanzania Bespoke Expeditions. By confirming a booking, you agree to be bound by these conditions.

These Terms and Conditions govern the relationship between Tanzania Bespoke Expeditions ("we," "us," "our") and you ("the client," "traveler," "you") regarding all safari bookings, tour packages, trekking expeditions, and related services offered through our website www.tanzaniabespokeexpeditions.com.

1. Definitions

  • "Company" — Tanzania Bespoke Expeditions, a licensed Tanzanian tour operator (TATO member)
  • "Client" — Any person or group booking safari services through the Company
  • "Safari" — Any tour, trek, expedition, or travel package booked through the Company
  • "Force Majeure" — Unforeseeable circumstances beyond the Company's reasonable control

2. Booking and Confirmation

2.1 Inquiry and Proposal

All bookings begin with a personalized inquiry. We will provide a detailed itinerary proposal including pricing, accommodation, and inclusions. This proposal is valid for 14 days from the date of issue unless otherwise stated.

2.2 Deposit and Confirmation

A deposit of 10% of the total safari cost is required to reserve your safari and confirm your booking. Upon receipt of your deposit, we will issue a booking confirmation and secure all accommodations, domestic flights, and services outlined in your itinerary.

2.3 Balance Payment

The remaining 90% balance must be paid no later than 60 days prior to your arrival date in Tanzania. For bookings made within 60 days of departure, full payment is required at the time of booking.

3. Pricing and Inclusions

3.1 What's Included

Unless otherwise stated in your itinerary, our safari packages include:

  • Private 4x4 safari vehicle with expert naturalist guide
  • All park entrance fees and conservation fees
  • Accommodation as specified in the itinerary
  • Full-board meals (breakfast, lunch, dinner) during safari
  • Bottled drinking water during game drives
  • Airport transfers on arrival and departure
  • Domestic flights where specified in the itinerary
  • Government taxes and VAT (where applicable)

3.2 What's Not Included

Unless explicitly stated, the following are not included:

  • International flights to and from Tanzania
  • Tanzania entry visa fees
  • Travel and medical insurance (mandatory)
  • Tips and gratuities for guides, porters, and lodge staff
  • Personal expenses (laundry, beverages, phone calls, souvenirs)
  • Optional activities not specified in the itinerary (e.g., hot air balloon safaris, spa treatments)
  • Vaccinations, medications, and medical expenses

3.3 Price Changes

Prices are quoted in US Dollars (USD). The Company reserves the right to adjust prices in the event of significant changes in government taxes, park fees, fuel costs, or currency fluctuations. Any price adjustments will be communicated to the client before final payment.

4. Payment Methods

We accept the following payment methods:

  • Bank Transfer: To our Tanzanian bank account (details provided on invoice)
  • Credit/Debit Card: Visa, MasterCard (processing fee may apply)
  • Online Payment: Secure payment link provided upon request

All bank charges and transfer fees are the responsibility of the client.

5. Cancellation and Refund Policy

5.1 Cancellation by the Client

Cancellation requests must be submitted in writing via email. The following cancellation charges apply:

  • More than 90 days before arrival: Full refund minus $100 administrative fee per person
  • 60 to 90 days before arrival: 90% refund of total safari cost (10% deposit retained)
  • 30 to 60 days before arrival: 50% refund of total safari cost
  • Less than 30 days before arrival: No refund
  • No-show or early departure: No refund for unused services

5.2 Cancellation by the Company

The Company reserves the right to cancel any safari due to force majeure, safety concerns, or insufficient bookings. In such cases, clients will receive a full refund or the option to reschedule at no additional cost.

5.3 Itinerary Changes

If you wish to modify your itinerary after booking, we will accommodate changes where possible. Significant changes may incur additional costs. The Company reserves the right to modify itineraries due to weather, road conditions, lodge availability, or safety considerations.

6. Travel Insurance

Comprehensive travel insurance is mandatory for all clients booking with Tanzania Bespoke Expeditions. Your insurance must cover:

  • Medical expenses and emergency evacuation (including helicopter evacuation)
  • Trip cancellation and interruption
  • Baggage loss or delay
  • Personal liability
  • For Kilimanjaro trekkers: High-altitude trekking coverage up to 6,000 meters

Proof of insurance must be provided at least 30 days before departure. The Company is not liable for any costs arising from inadequate or absent travel insurance.

7. Liability and Responsibility

7.1 Company Liability

Tanzania Bespoke Expeditions acts as an agent between clients and third-party service providers (lodges, airlines, ground operators). While we exercise due care in selecting our partners, we are not liable for:

  • Acts or omissions of third-party service providers
  • Personal injury, illness, or death during the safari (covered by travel insurance)
  • Loss or damage to personal property
  • Delays, cancellations, or changes caused by airlines or other transport providers
  • Events of force majeure (see Section 8)

7.2 Client Responsibility

Clients are responsible for:

  • Ensuring they have valid passports, visas, and vaccinations required for entry into Tanzania
  • Arriving at departure points on time
  • Informing the Company of any medical conditions, dietary requirements, or special needs at the time of booking
  • Following the instructions of guides and lodge staff for their own safety
  • Respecting local customs, wildlife, and the environment

8. Force Majeure

The Company shall not be held liable for failure to perform its obligations due to events beyond its reasonable control, including but not limited to: natural disasters, extreme weather, pandemics, civil unrest, terrorism, strikes, airport closures, or government actions. In the event of force majeure, the Company will work with clients to reschedule or provide refunds where possible, less any non-recoverable costs already incurred.

9. Health and Safety

9.1 Medical Conditions

Clients must disclose any pre-existing medical conditions, allergies, or physical limitations at the time of booking. Failure to disclose may result in the Company being unable to provide adequate care during the safari.

9.2 Vaccinations

Clients are responsible for obtaining all required and recommended vaccinations for travel to Tanzania. Consult your doctor or travel clinic at least 6-8 weeks before departure. Common recommendations include Yellow Fever, Hepatitis A, Typhoid, and Tetanus. Malaria prophylaxis is strongly recommended.

9.3 Safety During Safari

Wild animals are unpredictable and potentially dangerous. Clients must follow all safety instructions from their guide at all times. The Company is not liable for injuries resulting from failure to follow safety instructions.

10. Photography and Media

The Company may take photographs or video during your safari for marketing and promotional purposes. If you do not wish to appear in such materials, please inform us in writing before your safari begins. We will respect your privacy preferences.

11. Complaints and Disputes

Any complaints should be raised immediately with your guide or our office so that we can address them promptly. If a complaint cannot be resolved during the safari, it must be submitted in writing within 30 days of your return. Disputes shall be governed by the laws of the United Republic of Tanzania.

12. Privacy and Data Protection

We are committed to protecting your privacy. Personal information collected during the booking process is used solely for the purpose of providing our services. We do not sell or share your data with third parties except as required to deliver your safari. For full details, please read our Privacy Policy.

13. Amendments

The Company reserves the right to amend these Terms and Conditions at any time. The version in effect at the time of your booking shall apply. Clients will be notified of any material changes that affect existing bookings.

14. Acceptance of Terms

By making a payment to Tanzania Bespoke Expeditions, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. If you are booking on behalf of a group, you confirm that all group members have been made aware of and accept these terms.
